This Privacy Policy describes how Novus MD LLC ("Novus MD," "we," "us," or "our") collects, uses, and shares information when you visit novusmd.com (the "Site") or purchase a membership subscription through the Site.

Important: Novus MD LLC is a management services organization. It operates the Site and manages the platform and administrative services for Novus MD. It is not a medical provider. All clinical services, including consultations, prescriptions, laboratory orders, and medical recordkeeping, are provided exclusively by Pelerin Medical Services, PLLC (the "Practice"), a licensed professional corporation. The Practice maintains its own Notice of Privacy Practices governing how your protected health information is handled. You can review the Practice's Notice of Privacy Practices at [Pelerin domain]/notice-of-privacy-practices.

1. Information We Collect

1.1 Information You Provide

When you create an account or purchase a subscription through the Site, we collect:

We do not collect medical history, health conditions, symptoms, lab results, prescriptions, or any other clinical or health information through the Site. That information is collected and maintained exclusively by the Practice through its secure clinical platform.

1.2 Information Collected Automatically

When you visit the Site, we automatically collect certain technical information, including: IP address and approximate geographic location, browser type and version, device type and operating system, pages visited and time spent on each page, referring URL, and cookie identifiers (see Section 5). This information is used to operate and improve the Site and is not used to make clinical or prescribing decisions.

1.3 Information from Third Parties

We may receive information about you from third-party sources such as analytics providers or advertising platforms, consistent with their privacy policies and your settings with those services. We do not purchase or receive medical or health data about you from any third party.

2. How We Use Your Information

We use the information we collect to: create and manage your membership account; process subscription payments and renewals; communicate with you about your account, subscription status, and service updates; facilitate your connection to the Practice for clinical services; respond to your inquiries and provide customer support; comply with applicable legal obligations; detect and prevent fraud or unauthorized access; and improve the Site and our services. We do not use your information to make clinical decisions, influence prescribing, or direct the Practice's medical care in any way.

3. Payment Processing

All payment transactions are processed by Stripe, Inc. When you enter payment information on the Site, that information is transmitted directly to Stripe over an encrypted connection. Novus MD LLC does not store your full credit card number, CVV, or bank account details. Stripe's privacy practices are governed by Stripe's Privacy Policy, available at stripe.com/privacy. Subscription charges, renewal terms, and cancellation procedures are disclosed in your Membership Agreement and at checkout.

4. How We Share Your Information

We do not sell your personal information. We may share your information in the following limited circumstances:

Service providers. We share information with vendors who help us operate the Site and deliver our services, including payment processors, EHR/telehealth platform providers, email service providers, customer support platforms, and analytics providers. These vendors are contractually required to use your information only as directed by us and to maintain appropriate security measures.

The Practice. We share your account information (name, contact details, state of residence, membership status) with Pelerin Medical Services, PLLC so that it can deliver clinical services to you. The Practice's use of your health information is governed by its Notice of Privacy Practices, not this Privacy Policy.

Legal requirements. We may disclose your information if required to do so by law, court order, or regulatory authority, or if we believe disclosure is necessary to protect the rights, property, or safety of Novus MD, our users, or others.

Business transfers. If Novus MD LLC is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change and any choices you may have.

We do not share your information with advertisers or third-party marketing platforms in connection with your use of authenticated or subscription pages on the Site.

5. Cookies and Tracking Technologies

We use cookies and similar tracking technologies to operate the Site, remember your preferences, and analyze Site traffic.

What we use: Essential cookies (required for the Site to function; cannot be disabled) and analytics cookies (used on marketing and content pages only, to understand traffic and usage).

What we do not do: We do not deploy third-party advertising pixels, tracking scripts, or analytics tools on any page where you are logged in, on the membership sign-up flow, or on checkout pages. This includes Meta Pixel, Google Ads conversion tags, and similar tools — regardless of whether the page collects health information.

6. Data Retention

We retain your account and subscription information for as long as your membership is active and for a reasonable period afterward as required by law or legitimate business purposes. Payment transaction records are retained as required by applicable financial regulations. When you close your account, we will delete or anonymize your personal information within [Retention period, in days] days, except where retention is required by law.

7. Security

We use industry-standard security measures to protect your information, including HTTPS encryption across the entire Site, access controls, and regular security reviews. No method of transmission over the internet is completely secure. We cannot guarantee the absolute security of your information, but we are committed to maintaining reasonable safeguards appropriate to the nature of the data we hold.

8. California Residents

If you are a California resident, you have rights under the California Consumer Privacy Act (CCPA) and, where applicable, the California Confidentiality of Medical Information Act (CMIA), including: the right to know what personal information we collect and why; the right to request deletion, subject to certain exceptions; the right to correct inaccurate information; and the right to non-discrimination for exercising these rights. We do not sell your personal information and do not share it with third parties for cross-context behavioral advertising. To exercise these rights, contact us at privacy@novusmd.com. We will respond within 45 days of a verifiable request.

9. Washington Residents

If you are a Washington state resident, you have rights under the My Health My Data Act (MHMD Act), which broadly covers consumer health data beyond HIPAA. To the extent we collect information that constitutes "consumer health data" under the MHMD Act, we will obtain your consent before collecting or sharing such data and will honor your rights to access, correct, and delete it upon request. Contact us at privacy@novusmd.com.

10. Children's Privacy

The Site and our services are intended for adults aged 18 and older. We do not knowingly collect personal information from individuals under 18. If we become aware that we have, we will delete it promptly. Contact privacy@novusmd.com if you believe a minor has provided us with personal information.

11. Third-Party Links

The Site may contain links to third-party websites, including the Practice's clinical portal and the Pelerin Medical Services, PLLC website. This Privacy Policy does not apply to those sites.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last Updated" date and, where required by law, notify you by email or through the Site. Continued use of the Site after an update constitutes acceptance of the revised Policy.
